Core Workflow Setup

We start by calming the day-to-day. We map and standardise your 2–3 most important workflows, such as:

  • enquiry → quote → delivery
  • simple scheduling or booking
  • basic admin or back-office process (e.g. invoicing, job set-up)

Together we agree the steps, handovers, and “this is how we do it here” for each workflow, so everyone follows the same path instead of doing their own thing.

Scope guardrail: limited to 2–3 workflows, each at a practical level (major exceptions and edge cases can be noted, not fully designed). If extra workflows emerge, we park them for later or treat them as a separate piece of work.

File Structure & Naming

Next, we give every file a permanent home. We design a simple, scalable file structure and naming system that matches how your business actually works today and where you’re heading next.

No more hunting for files, version confusion, or “it’s on someone’s desktop”. Everything has a clear home and a consistent name.

Scope guardrail: we design a structure for your main shared drive/workspace (e.g. Google Drive, OneDrive) plus key folders tied to the workflows in scope. Deep clean-up or migration of large legacy archives is treated as separate work.

Simple Tools Setup

Then we strip back the tool stack. We confirm or recommend a lean set of tools for your stage, and help you set up or tidy them at an everyday, practical level. Typically this includes:

  • one CRM or job management tool
  • scheduling or calendar/bookings
  • core communication channels

The aim is to make your current stage workable, not to build an enterprise stack you don’t need yet.

Scope guardrail: limited to one primary CRM/job tool + scheduling + comms. We configure basic fields, boards, views, and templates to match the workflows in scope. No complex automations, integrations, or system migrations in this service – heavier systems work is handled as a separate project.

Documentation Starter Kit

We write down just enough to keep things consistent. You get a practical starter pack of documentation, built in your environment, which may include:

  • 3–5 short SOPs for the workflows we’ve set up
  • simple workflow guides (text-first, with basic visuals if helpful)
  • your naming conventions and file rules
  • onboarding basics for new staff (how we work, where things live)
  • a one-page “How We Operate” overview

It’s designed to be used during the week, not filed away and ignored.

Scope guardrail: documentation is focused on the 2–3 workflows and structures covered in this service. We don’t attempt to document the entire business here – broader documentation can be added later as a separate piece of work.

Implementation & Handover

We don’t just drop a folder on you. We walk you (and your team, if you have one) through your new foundations so you know exactly how to use them – workflows, tools, files, and “house rules”.

Scope guardrail: implementation support is provided within the 1–2 week engagement window, with up to 2 walk-through sessions. Ongoing support, changes, or further build-out can be handled through a separate project or an Ongoing Operational Support plan (for existing clients).
